Privacy Policy

This policy explains what XpertAdmin, the Google Sheets™ add-on for Google Workspace™ administration, accesses, what we store, and why. It also covers this website, xpertadmin.com. Questions: support@xpertadmin.com.

The short version

  • XpertAdmin runs on Google Apps Script inside your own Google account. Your users, groups, aliases and group members are read and changed through Google’s Admin SDK Directory API and written only to the spreadsheet you are using.
  • We never copy, store or see your directory data.
  • Our license server receives one thing from the add-on: the email address of the admin using it. We store that email with the admin’s plan and trial dates.
  • We do not sell or share your data, use it for advertising, or use it to train AI models.

Data the add-on accesses

When you install XpertAdmin, Google asks you to approve these permissions. Each is used only for the purpose listed.

  • View and manage users on your domain (admin.directory.user): to export, create, update, suspend, unsuspend, delete and restore users and their aliases when you run an operation, and to check that your account is a Workspace admin.
  • View and manage groups on your domain (admin.directory.group): to export, create and delete groups, and to export, add, remove and change the roles of group members when you run an operation.
  • View and manage spreadsheets that this application has been installed in (spreadsheets.currentonly): to create operation templates, read the rows you fill in, and write results and exports. XpertAdmin cannot open any other file in your Drive.
  • Display and run third-party web content in prompts and sidebars (script.container.ui): to show the XpertAdmin sidebar.
  • Connect to an external service (script.external_request): to check your plan with our license server.
  • See your primary Google Account email address (userinfo.email): to identify which admin is using XpertAdmin and look up their plan.

Directory data is processed only while an operation you started is running. It stays in your Google account: in Google’s systems and in your spreadsheet. Passwords you enter to create users or reset passwords are sent to Google and then replaced with ******** in the sheet after a successful run.

Data we store

The add-on sends our license server the admin’s email address and an API key that identifies the add-on. Our license server is a Google Apps Script web app with a Google Sheet in our own Google account. It stores:

  • Every admin who opens XpertAdmin: email address, trial start date, and the dates the admin first and last used XpertAdmin. This lets us run the 15-day free trial and stop it restarting when the add-on is reinstalled.
  • Admins with a paid licence, in addition: plan (Standard or Professional), licence start and end dates, the customer or company name given at purchase, and payment order IDs.

The add-on also keeps the admin’s plan and trial start date in Apps Script’s per-user storage in your own Google account, so it keeps working if our server is briefly unavailable.

If XpertAdmin hits an unexpected error, the error message may be recorded in Google Cloud Logging for our Google Cloud project. These messages can include the admin’s email address but not your directory data. Google keeps these logs for 30 days.

Payments

Paid plans are bought through our payment provider, who processes your card or bank details under their own privacy policy. We receive the order details needed to issue your licence: your name or company name, billing email, the admin email the licence is for, the plan, the amount and the order ID. We never receive your full card number.

Support emails

If you email support, we keep the conversation, including anything you include such as your domain and the Status message from a row, so we can help you and refer back to it later.

Google API Services User Data Policy

XpertAdmin’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not use Google user data for advertising, we do not transfer it to others except as needed to provide the add-on, and no person at XpertAdmin reads your directory data.

How long we keep data

  • Trial records: for as long as we offer XpertAdmin, so that a free trial cannot be restarted. You can ask us to delete yours at any time.
  • Licence and order records: for as long as the licence is active and then for as long as tax and accounting law requires.
  • Support emails: for as long as needed to help you and to handle related questions later.

Your choices and rights

  • You can remove XpertAdmin at any time from Extensions → Add-ons → Manage add-ons in Google Sheets, and revoke its access at myaccount.google.com/permissions. Workspace admins can also remove it for the whole domain in the Admin console.
  • Email support@xpertadmin.com to get a copy of the data we hold about you, correct it, or have it deleted. We reply within 30 days. Deleting a record that holds an active licence ends that licence.

This website

  • xpertadmin.com runs on WordPress. We measure visits with WP Statistics, which runs on our own server and does not use advertising cookies.
  • Pages load fonts from Google Fonts, so your browser connects to Google’s servers to download them.
  • WordPress sets cookies only if you log in to the site’s admin area.

Security

Requests between the add-on, Google and our license server use HTTPS. Access to the license server and its sheet is limited to the XpertAdmin team. The add-on checks that the person running it is a Workspace admin before it runs any operation.

Children

XpertAdmin is a tool for Google Workspace administrators and is not directed at children. Schools using XpertAdmin manage student accounts through their own admins; we do not receive student data.

If we change this policy, we will update the date at the top of this page.
